             Position:             Global Logistics Coordinator/ Specialist

             Shift:                    Full-time Contract (4 months), 40 hours a week

Purpose:

The Global Logistics Coordinator/ Specialist is acting as part of a project team handling the international flow of goods for the projects assigned to them. They are well-versed in international trade, customs compliance and understand international shipping extensively. This includes experience in all modes of transport (ocean, air, courier, ground) and all transport directions (export or cross trade experience). The individual brings resilience and adaptability to the job and works well under pressure and in an environment with fluctuating workload. The ideal candidate is someone who thrives in a position where autonomy is given, collaboration creates success and diligence is appreciated and the environment is global and dynamic.

This position is a 4-month contract position with potential for extension based on workload and performance working in our head office in Richmond BC, Canada.

 

Essential Responsibilities:



Shipment Management:

  • Take ownership of managing the shipping of all POs and WO sourced parts for a given project and deliver them on-time and on-budget
  • Assist with production related mould transfer shipments or new vendor onboarding shipments as assigned by manager
  • Manage shipments end-to-end, all modes, all directions internationally and domestically using a variety of incoterms
  • Create value schedule for each project to define commercial value for each shipment
  • Handle export documentary credit negotiation and related projects including bank presentations incl. discrepancies
  • Support regional sales or estimating team with quotes and logistics information as requested
  • Conduct competitive bidding RFP per project with appropriate carriers and/or logistics service providers incl. rate negotiations
  • Freight PO generation and/or freight invoice review and approvals for all shipments handled in accordance with est. process
  • Maintain and grow relationships with logistics service providers and onboard new providers as directed by manager
  • Connect regularly with project stakeholders including but not limited to project managers, buyers, engineers, and end-customers
  • Collaborate with local government offices, chamber of commerce and banks as needed

 

Administrative Responsibilities:

  • Maintain, track and trace shipment summaries for all projects on a weekly basis
  • Receive goods as shipped and freight POs as service rendered
  • Support manager in freight spends and master RFQ bid analysis
  • Follow global logistics processes and procedures as outlined by head office in Canada
  • Stand-in for other Logistics team members especially in Dubai and as otherwise required
  • Support rush local for local procurement tasks sporadically

 

Customs Formalities:

  • Assess applicability and utilize free trade agreements where suitable
  • Consult with and supply information to customs brokers for customs clearance
  • Comply with record keeping requirements as per prevailing customs regulations
  • Handle import / export customs formalities through customs brokers and as needed with regulatory bodies directly within the region
  • (MEI – Middle East & India)
  • Handle HS code classifications for new items
  • Handle cargo pre-inspections for destinations that require such and arrange for legalization, certification of documentation

 

Qualifications & Experience:

 

  • Post secondary certificate, diploma or bachelor’s degree in in related field or equivalent combination of continuing education and work experience (e.g. SCMP, CIFFA, CITT and regional equivalents).
  • 3-5 years of global experience handling ocean (FCL/LCL) and air (conventional and courier) export shipment in a manufacturing or project environment
  • Fundamental understanding of customs formalities, HS codes, Country of origin determination, valuation of cargo
  • Proficient in Incoterms 2020 and how to apply and ship in accordance with them
  • Experience with D365 ERP, alternate ERP software and Power BI reports is a strong asset.

 

Competencies, Skills & Abilities:

 

  • Knowledge of dangerous goods and courier shipping (e.g. FedEx / UPS / DHL)
  • Handling letter of credit shipments and/or bank presentations is an asset
  • Familiarity with Descartes, Migras Export Guide and like programs is an asset
  • Advanced knowledge and experience of MS Office especially MS Excel
  • Strong interpersonal, communication and negotiation skills
  • Resilient and adaptability to fluctuating workload and changing goal posts are a must
  • Analytical and apply creativity within legal parameters to resolve shipping/logistics problems
  • Excellent verbal and written communication skills
  • Thrive in a fast-paced environment with ever changing priorities
  • Ability to independently gather and work with data from multiple sources
  • Excellent organizational and administrative skills with the ability to work with minimum direction and coordinate multiple projects simultaneously with keen attention to detail.
  • Ability to prioritize and manage time effectively and independently
  • Cultural competence and knowledge for liaison with end-customers around the world
  • Additional languages are a benefit but not a must
